Conference Fees and Information

ECI conferences are designed as fully immersive experiences, with hotel accommodations and meals included in the registration fee to foster collaboration, informal discussion, and meaningful engagement among participants. In support of this model, ECI maintains a contractual commitment with its conference hotels to provide lodging and meals for all attendees.

  • The conference fee includes: all technical sessions; hotel accommodations for the nights of Sunday through Wednesday (Sept. 13, 14, 15, 16; check-out on Thursday, Sept. 17, 2026); breakfast, lunch and daily coffee breaks Sunday - Thursday; Welcome Dinner on Sunday night; Conference Banquet Wednesday night; plus an off-site port-wine excursion; and all taxes.  Monday and Tuesday night dinners are on your own.
  • ALL PARTICIPANTS - including members of the Organizing Committee and all invited speakers -
    are required to register.
  • ECI cannot guarantee hotel accommodations without advanced payment. 
  • Registrations and/or payments received after 14th August 2026 will be confirmed on a first-come, first-served basis, if space is still available.

  • All Accompanying Guests must pay the guest registration fee. 
  • Guests may NOT attend technical/ educational sessions
All Meals & Activities – Accompanying spouse and/or personal guest of single conference participant, sharing a hotel room with the participant. Fee includes all meals, receptions, poster session, and off-site excursion; however, guest may not attend technical/ education sessions.US $650

Student Rates

  • ECI provides discounted registration rates for bona fide graduate students in exchange for onsite logistics support such as audio visual (AV) and speaker coordinator(s), on-site registration check-in support, microphone runners, photographers, etc. 
  • ECI will email all students one week prior to the start of the conference to ask for on-site help preferences. We appreciate your participation and support!

Frequently Asked Questions

  • Hotel accommodations and meals are included in the conference registration fee. Please note that, due to contractual obligations with our host hotel, we are unable to offer reductions for early departures or late arrivals.
  • Full registration, including accommodations and meals, is required for all participants. Exceptions may be granted solely for individuals whose permanent residence is located within the host city of the conference venue.
  • The conference hotel will extend the ECI group rate to participants for up to three days prior to the conference start date and up to three days following the conference end date. To take advantage of this offer, please book your extended stay directly via the Pre/Post Conference Hotel Reservations instructions on our website.
  • Ground transportation to and from the hotel is not included in the conference registration fee. For details on available transportation options, including shuttles and rideshare services, please visit the Travel and Venue Information page on our website.
  • Official Letters of Invitation are available to fully registered and paid participants for the purpose of supporting their visa application to enter the host country. To submit your request, please complete the Request for Official Letter of Invitation.

Pre/Post Conference Hotel Reservations

Participants who plan to arrive early or extend their stay beyond the conference dates at
the Hilton Porto-Gaia Hotel in Porto, Portugal, are encouraged to complete the Hotel
Reservation Request form and submit it to Pedro Santos as soon as possible. Please
note that discounted conference rates for pre- and post-conference nights are available
on a space-available basis, for up to three days before or after the conference dates.

ECI does not guarantee or assume responsibility for room reservations made outside of
the official conference dates. Any additional nights must be reserved and paid for
directly with the hotel by the participant. Cancellations of pre-conference or post-
conference reservations must be submitted to the hotel at least 30 days in advance.

    Unless otherwise indicated, ECI will make your hotel reservation directly with the conference hotel after your registration is confirmed. ECI will never contact you via telephone to make a payment. We do not use Docusign and we do not accept PayPal. If anyone contacts you to make a reservation through a third party, please notify ECI at info@engconfintl.org.

  • New Entry/Exit System for European Union

    The European Union (EU) has introduced a new entry/exit system for travel into and out of the Schengen area that will use biometrics and facial recognition for border crossings. It replaces the manual passport-stamp system with electronic registration of entries, exits and refusals. As it is rolled in, there may be delays as biometric data is collected.
